This Privacy Policy explains how Data Network Computing uses personal information collected through coachcompanion.ai and through enquiries about Coach Companion.

1. Who we are
Coach Companion is operated by Data Network Computing (“DNC”, “we”, “us” or “our”). The public website is coachcompanion.ai.

2. What this policy currently covers
This policy covers personal information processed through the public Coach Companion website, including the early-access / register-interest form, direct enquiries arising from the website, website security and technical logs, analytics where consent is provided, and cookie-consent preferences.
Coach Companion is being developed as a white-label AI coaching enablement platform for coaches and organisations. When external organisations begin using the product with their own clients, additional product-specific privacy notices, contractual terms and data-processing arrangements may apply. Those arrangements will be documented separately before live client coaching data is processed under those services.
3. Personal information we collect
Information you provide. When you register interest or contact us, we may collect your name, email address, coaching business or organisation, and the information you include in your message.
Technical and security information. Our website and hosting systems may process technical information such as IP address, browser and device characteristics, request logs, security events, timestamps and pages requested where this is necessary to operate and protect the website.
Analytics information. Google Analytics 4 is connected through Google Site Kit. For visitors in the UK and configured EEA regions, Analytics storage starts in a denied state. Where you choose Statistics consent, analytics technologies may process information about website usage, such as pages viewed, referral source, approximate location derived from network information and device/browser characteristics.
Cookie preferences. Complianz and WP Consent API are used to manage and communicate consent choices. Preference information may be stored so that the website can remember and respect your choices.
Please do not submit confidential coaching-session information, health information or other special-category or highly sensitive personal information through the public register-interest form.
4. How we use personal information and our lawful bases
Depending on the circumstances, we may use personal information to:
- Respond to enquiries and early-access interest. This may be necessary to take steps at your request before a potential contract and/or based on our legitimate interest in responding to genuine business enquiries.
- Develop and administer the Coach Companion proposition. We may use enquiry feedback and business requirements to understand demand and improve the proposed service. We do not use private enquiry content to train a public AI model.
- Operate, protect and troubleshoot the website. We rely on legitimate interests in maintaining reliable, secure systems and preventing misuse.
- Measure website usage. Where non-essential analytics technologies require consent, we rely on your consent. You can change or withdraw that choice through the cookie controls.
- Comply with legal obligations and protect legal rights. We may process information where required by law or where reasonably necessary to establish, exercise or defend legal claims.
We do not sell personal information.
5. Who we may share information with
We may use service providers that help us operate the website and communications, including WordPress/website hosting services, email services, Google Site Kit and Google Analytics, Complianz and WP Consent API, and providers supporting website fonts or other technical functions.
We may also share information with professional advisers, insurers, law-enforcement bodies, regulators, courts or other parties where required by law or where reasonably necessary to protect our rights or the rights of others.
Service providers receive information only as needed for the relevant service and are subject to their own contractual and legal obligations.
6. International transfers
Some technology providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we take reasonable steps to use an appropriate transfer mechanism or other lawful safeguard.
7. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including responding to enquiries, considering early-access participation, maintaining security records, meeting legal or accounting requirements, or resolving disputes.
Enquiry information that does not lead to an ongoing relationship is periodically reviewed and deleted when it is no longer reasonably required. Technical and security logs are retained according to operational and hosting requirements. Cookie-consent information is retained according to the consent-management configuration.
8. Security
We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure or loss. No internet service can be guaranteed to be completely secure, so please avoid sending unnecessary sensitive information through the public website.
9. Your data-protection rights
Depending on the circumstances and the lawful basis used, UK data-protection law may give you rights to request access to your personal information, correct inaccurate information, request erasure, restrict processing, object to processing, and receive certain information in a portable format.
Where we rely on consent, you can withdraw that consent at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.

10. Cookies and analytics
We use necessary technologies for website operation and consent management. Google Analytics is available through Google Site Kit and is controlled using the site’s consent framework. Non-essential Statistics storage is denied by default for the configured UK/EEA regions until the visitor provides the relevant consent.

11. AI and automated decision-making on this public website
The public Coach Companion website does not use information submitted through the register-interest form to make solely automated decisions that produce legal or similarly significant effects on you.
The future Coach Companion product is intended to support human coaching rather than replace human professional judgement. Product-specific AI processing, retention, user roles and client-data responsibilities will be documented separately before external live-client use.
12. Complaints
If you have a concern about how we use your information, contact us first at privacy@coachcompanion.ai so that we can try to resolve it.
You also have the right to raise a concern with the UK Information Commissioner’s Office (ICO). Information about making a complaint is available from the ICO website.
13. Changes to this policy
We may update this policy as the website, Coach Companion services, technology or legal requirements develop. The date at the top of this page shows when it was last updated.
